1. Who we are

This website is operated by PRESSENSE LIMITED, the company behind the PreSSense brand.

PRESSENSE LIMITED is registered in England and Wales under company number 17087128.

Registered office: Belmont Suite, Paragon Business Park, Chorley New Road, Bolton, Lancashire BL6 6HG.

Email: enquiries@pres-sense.com

We are responsible for deciding how personal information is used when you contact us directly, use our website or engage with us as a client, supplier or business contact. In data protection terms, we are a data controller for those activities.

Where we process personal information solely on behalf of a client, that client may instead be the controller, and we may act as its data processor. The relevant contractual arrangements will govern that processing.

2. Information we collect

Depending on how you interact with PreSSense, we may collect:

  • Your name, email address, organisation and contact details.

  • Information you provide when completing our contact form or corresponding with us.

  • Information about your enquiry, business needs or proposed project.

  • Information necessary to manage client relationships, deliver agreed services, work with suppliers and maintain business records.

  • Meeting notes, recordings or transcripts where recording or transcription has been agreed.

  • Limited technical information and cookies needed to operate and protect our website.

Our website contact form asks for your first name, last name, email address and message. You may also provide your organisation and select topics of interest.

Please avoid submitting sensitive personal information through the general contact form unless it is necessary for your enquiry.

3. How we use your information

We use personal information to:

  • Respond to enquiries and communicate with people who contact us.

  • Understand business challenges and discuss potential services.

  • Prepare proposals and manage client engagements.

  • Deliver consultancy, creative and people-development services.

  • Maintain appropriate records of business discussions, decisions and agreed actions.

  • Manage contracts, invoices, accounting and legal obligations.

  • Protect our website, communications and business systems.

We do not currently operate a newsletter or unsolicited email-marketing programme through this website.

4. Our lawful bases

Under UK data protection law, we rely on different lawful bases depending on the activity.

Legitimate interests: To respond to business enquiries, manage professional relationships, prepare proposals, maintain relevant business records and operate our business effectively, where those interests are not overridden by individuals' rights.

Contract: Where processing is necessary to enter into or perform a contract with you.

Legal obligation: Where we must retain or use information to meet legal, accounting or regulatory requirements.

Consent: Where we specifically request consent for a particular activity and consent is the appropriate lawful basis.

The lawful basis for an activity depends on its circumstances. We assess this separately where necessary, particularly when handling information on behalf of clients.

5. Meeting recordings and AI-assisted transcription

We sometimes use Granola or Microsoft Teams to support meeting notes, recording or transcription.

We seek participants' agreement before recording or transcription begins, whether that agreement is obtained ahead of the meeting or during the meeting.

The resulting information may help us capture discussions, decisions, actions and requirements relevant to an engagement.

Where recording or transcription is optional, participants can decline it and continue with the meeting without being recorded.

Meeting information is used for relevant business purposes and is not intended for unrelated public distribution. We restrict access according to the needs of the engagement and any applicable client agreement.

Agreement to recording does not necessarily mean that consent is the UK GDPR lawful basis for all subsequent processing. The appropriate basis depends on the circumstances.

6. Who we share information with

We use trusted technology and service providers to operate our business. Depending on the activity, these may include:

  • Wix, for website hosting, contact forms and website-related records.

  • Google Workspace, for business email and communications.

  • Microsoft Teams, for meetings and collaboration.

  • Granola, where AI-assisted meeting notes or transcription are used.

  • Professional advisers, contractors or delivery partners where necessary and appropriately authorised.

We may also disclose information where required by law or where necessary to establish, exercise or defend legal claims.

We do not sell personal information.

7. International processing

Some of our technology providers may process or store personal information outside the United Kingdom.

Where UK data protection law requires safeguards for international transfers, we seek to rely on applicable adequacy arrangements or appropriate contractual and other protections.

The specific arrangements depend on the provider and the processing involved. Further information can be requested using the contact details above.

8. How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, subject to contractual and legal requirements.

Our approach is:

  • Enquiries that do not become client engagements: We review and ordinarily delete personal information after 24 months without meaningful contact, unless there is a legitimate reason to retain it longer.

  • Client and project records: We retain these during the engagement and review them after completion, keeping only information needed for ongoing business, contractual or legal purposes.

  • Financial and accounting records: We retain these for the periods required by applicable law.

  • Meeting recordings and transcripts: We review these at project closure and delete them when they are no longer needed, subject to applicable client agreements and legal obligations.

We may retain limited information for longer where necessary to resolve disputes, protect legal rights or comply with the law.

9. Cookies and website technologies

Our website uses technologies necessary for its operation, security and functionality.

The website is built using Wix. We do not currently have separate Google Analytics, Google Tag Manager, Meta Pixel or Google Ads tracking installed on the launch website.

We use a cookie-consent tool to provide information about cookies and, where applicable, allow you to manage your preferences. Some cookies are essential for the website to function. Where consent is required for non-essential cookies, we will request it before those cookies are used.

You can review or update your cookie preferences using the controls provided on our website.

10. Your data protection rights

Depending on the circumstances, you may have the right to:

  • Request access to your personal information.

  • Ask us to correct inaccurate or incomplete information.

  • Request deletion of your information.

  • Ask us to restrict certain processing.

  • Object to processing based on legitimate interests.

  • Request portability of certain information.

  • Withdraw consent where we rely on consent.

These rights are subject to applicable legal conditions and exceptions.

To exercise a right or ask a question about how your information is handled, contact enquiries@pres-sense.com.

You also have the right to complain to the Information Commissioner's Office (ICO) at https://ico.org.uk.

11. Security

We take reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure.

No internet-based service can guarantee absolute security.

12. Changes to this notice

We may update this notice as our services, systems or legal obligations change. The latest version will be available on this website, with its revision date shown above.
